Job Description:

MINISTRY:                      Ministry of Education, Youth, Culture and Library Services

JOB SUMMARY:

This is an administrative position, which has responsibility for the smooth operation of administrative functions in the office and for dealing with information that is sensitive and/or confidential.

KEY DUTIES AND RESPONSIBILITIES:

  1. 1 Verifies and submits purchase orders, vouchers and invoices for approval
  2. Schedules appointments/arrange meetings
  3. Answers and directs telephone calls/enquiries to the appropriate personnel
  4. Meets and greets internal and external customers
  5. Disseminates information. This includes:
    • Prepares basic correspondence
    • Types confidential correspondence
    • Scans, e-mails, faxes, photocopies documents
    • Receives and dispatches mail
  6. Maintains a comprehensive filing system
  7. Maintains registers and record systems
  8. Makes flight, hotel and rental bookings for personnel as required
  9. Records, stamps and seals official documents
  10. Prepares and sorts source documents to identify and interprets data to be entered; where data is missing checks with source documents or relevant personnel to resolve questions and inconsistencies.
  11. Compares data entered with source documents and verify accuracy of data to be entered.
  12. Processes data as required.
  13. Generates reports from data as requested.
  14. Adheres to all Public Service codes, rules and regulations
  15. Performs any other related tasks that may be assigned.

MINIMUM QUALIFICATIONS & EXPERIENCE:

  • Three or more GCE or CXC passes including English and Mathematics, or equivalent experience.
  • A certificate/diploma in secretarial studies/related field is desirable.
  • The position requires a minimum of one (1) year experience in the administrative field to acquire the necessary competencies to respond effectively to the challenges of the job.

SALARY: Grade 4: $21,935.00 per annum
